How to Enable Dark Mode in Microsoft Office Apps

If you often work late into the night or spend hours staring at documents and spreadsheets, you’ve probably noticed how bright Office apps can be on the eyes. Fortunately, Microsoft has included a built-in Dark Mode across all Office applications — including Word, Excel, PowerPoint, and Outlook — to help reduce glare, improve focus, and make long work sessions more comfortable.

In this guide, we’ll show you how to enable Dark Mode in Microsoft Office apps on Windows 11 and customize it to match your preferences.

What You’ll Need

Before you begin, make sure you have the following:

You’ll need Microsoft Office 2021 or an active Microsoft 365 subscription with the latest updates installed. Older Office versions (like Office 2016 or earlier) have limited or no Dark Mode support. A stable internet connection is also helpful if your Office apps are set to update automatically.

Tip: You can check your Office version by opening Word or Excel, selecting File → Account, and looking under the About section.

Step 1: Update Microsoft Office to the Latest Version

Dark Mode was fully rolled out in the latest builds of Microsoft 365 and Office 2021. If you’re not seeing the option, you may just need to update your apps.

  1. Open Word, Excel, or any other Office app.
  2. Go to File → Account (or Office Account in some versions).
  3. Under the Product Information section, click Update Options → Update Now.
  4. Wait for the update process to complete, then restart your Office apps.

After updating, the Dark Mode theme should be available in the personalization settings.

Step 2: Enable Dark Mode in Office Apps Using Account Settings

You can enable Dark Mode for all Office apps from one place — the Account settings page.

  1. Open Word (or any other Office application).
  2. Click File → Account from the top-left corner.
  3. Under Office Theme, select Black or Dark Gray from the dropdown menu.
  4. The change takes effect immediately across all Office apps that share the same account.

The “Black” theme provides the deepest dark tone, while “Dark Gray” offers a slightly softer contrast if you prefer a more balanced look.

Step 3: Change the Page Background Color in Word

Even with Dark Mode enabled, Microsoft Word by default keeps the document page white — which can be harsh at night. Fortunately, you can switch the page color to dark as well.

  1. Open Word and click File → Options.
  2. Go to the General tab.
  3. Under Personalize your copy of Microsoft Office, make sure Office Theme is set to Black.
  4. Check the box that says Never change the document page color if you want to keep your page white, or leave it unchecked to make the page itself dark.

If unchecked, both the interface and the page background will switch to dark mode, creating a fully immersive dark experience.

Step 4: Enable Dark Mode via Windows Settings (Optional)

If you prefer your apps to follow the system-wide theme, you can configure Windows 11 to handle that automatically.

  1. Press Windows + I to open Settings.
  2. Go to Personalization → Colors.
  3. Under Choose your mode, select Dark.

Once applied, Office apps set to “Use system setting” will automatically switch to Dark Mode whenever Windows does.

Step 5: Turn On Dark Mode in Outlook

Outlook uses its own interface theme, but you can enable Dark Mode in a few simple steps.

  1. Open Outlook.
  2. Click File → Office Account.
  3. Under Office Theme, select Black or Dark Gray.
  4. To change the reading pane background, open a message, go to the View tab, and select Switch Background.

Outlook lets you toggle between dark and light backgrounds for reading emails without changing the entire theme.

Step 6: Customize Dark Mode for Individual Apps (Optional)

If you prefer different themes in different apps, you can set them individually instead of globally.

  1. Open the Office app you want to customize (for example, Excel).
  2. Go to File → Options → General.
  3. Under Personalize your copy of Microsoft Office, choose your preferred theme.
  4. Click OK to save the change.

This lets you mix and match — for instance, you might use Dark Mode in Word for writing and the standard light theme in Excel for better visibility of cells and data.

Step 7: Disable Dark Mode If You Want to Switch Back

If you want to return to the traditional bright interface, simply follow the same steps and change the theme back to Colorful or White under the Office Theme menu. The change takes effect immediately across all connected apps.

Wrapping Up

Dark Mode isn’t just an aesthetic choice — it helps reduce eye strain, saves battery life on laptops, and provides a more focused workspace. With Microsoft’s unified theming system, enabling Dark Mode in Office apps takes only a few clicks, and you can customize it further to match your Windows settings or personal taste.

Whether you’re writing late-night reports in Word or reviewing spreadsheets in Excel, a darker interface makes the experience a lot easier on the eyes. And if you ever wonder how long it took Microsoft to add a feature that’s been around in Notepad for years, well — sometimes good things take time.
